Chat Assistant

Ask questions about jobs, scheduling, and platform features from any page.

The AI chat assistant is a floating panel you can open from any page while logged in. Use it to ask about your jobs, scheduling, crew, or how features work.

Opening the Chat

There are two ways to open the chat:

  1. Floating button -- Click the AI icon in the bottom-right corner of any page
  2. Keyboard shortcut -- Press Ctrl+K (or Cmd+K on Mac)

Press Escape or click outside the panel to close it.

What You Can Ask

  • "Which crew members are available this week?"
  • "How do I set up job templates?"
  • "What does the scheduling analytics dashboard show?"
  • "How do I export a PDF report?"

The assistant knows about Person Trail's features and can answer questions about your workflow.

How It Works

  • Messages stream in real time as the AI responds
  • Your remaining daily quota is shown in the panel footer
  • Conversations are session-only and are not saved. Refreshing the page clears the chat history.

Custom AI Instructions (Trailblazer)

On the Trailblazer plan, you can set organization-level instructions that shape how the AI responds. These instructions are injected into every chat conversation and content suggestion, so the AI understands your business context.

Where to configure: Dashboard > Settings > AI

Examples of custom instructions:

  • "We specialize in commercial HVAC. Always reference industry codes when relevant."
  • "Our crew speaks mostly Spanish. Keep responses simple and clear."
  • "We use 4-hour scheduling blocks. Round time estimates to the nearest block."

Custom instructions apply to all users in your organization.

Availability

The chat assistant is available on all plans (Free, Starter, Pro, and Trailblazer). Daily message limits vary by plan. See Usage limits for details.
