Compliance Tracking

Upload and track licenses, insurance, certifications, and permits for your crew.

Keep your crew's paperwork in one place. Compliance tracking lets you upload documents like licenses, insurance certificates, W-9s, and permits, then monitors expiration dates so nothing slips through the cracks.

Availability

Compliance tracking requires Starter or higher. OCR-based document scanning is available on Pro and above.

How It Works

Open any crew member's profile and scroll to the Compliance section. Tap Upload to add a new document. Pick the document type, give it a title, set the expiration date, and attach the file (PDF, JPG, or PNG).

Each document gets a status indicator:

  • Green -- Active and valid
  • Amber -- Expiring soon
  • Red -- Expired

Person Trail checks expiration dates automatically and will flag documents that need renewal.

Document Types

  • License -- Trade or contractor licenses
  • Insurance -- General liability, workers' comp, or auto
  • Certification -- OSHA, lead, asbestos, or trade-specific certs
  • W-9 -- Tax identification forms
  • Permit -- Job-specific or municipal permits

Key Features

  • Upload PDFs, JPGs, and PNGs directly from the crew member profile
  • Automatic expiration tracking with color-coded status badges
  • Issuer field to record which authority issued the document
  • Delete documents when they are replaced or no longer needed
  • Tier-gated: Free users see an upgrade prompt instead of the section

What the Owner Sees

Owners and Admins can view every crew member's compliance status at a glance. Expiring or expired documents surface immediately so you can follow up before a job site audit catches you off guard.
