Job Statuses
Understand the lifecycle of a job from creation to completion.
Every job in Person Trail moves through a series of statuses. Each status is color-coded on the schedule and dashboard so you can see where things stand at a glance.
Status Flow
Jobs follow this lifecycle:
Pending > Scheduled > In Progress > Completed (or Delayed)
What Each Status Means
Pending
The job has been created but is not yet assigned to a crew member or does not have a scheduled date. It sits in your job list waiting for action.
Scheduled
The job is assigned to a crew member with a confirmed date and time. The crew member can see it in their portal. The job appears on the schedule calendar.
In Progress
The crew member has started work on the job. This typically means they have clocked in from their portal. The Owner dashboard updates to reflect that work is underway.
Delayed
The crew member has reported a delay. A reason is required when marking a job as delayed. The delay and its reason are logged in the job's progress timeline so the Owner has full visibility into what happened.
Completed
The work is finished. When a job is marked complete, a PDF report is generated automatically with the full job details and timeline. Completed jobs no longer count toward your active job limit.
Who Can Update Status
- Owners can set any status on any job from the dashboard.
- Crew members can update the status of jobs assigned to them from the portal. They can move a job to In Progress, Delayed, or Completed.
Phase Statuses
When a job uses multi-phase chaining, each phase tracks its own status independently of the overall job status.
| Phase Status | Meaning |
|---|---|
| Pending | Waiting for a previous phase to finish |
| Notified | The crew member has been notified that this phase is coming up |
| In Progress | The crew member has started work on this phase |
| Completed | This phase is done |
When a phase is marked complete, the next phase in the sequence is automatically activated and the assigned crew member is notified. When all phases are complete, the overall job can be marked complete.
Viewing Status on the Dashboard
The Owner dashboard shows job counts by status and color-codes each job card. The schedule calendar also uses color indicators so you can quickly scan for delayed or in-progress work across your crew.
